Improved document management including PDF redaction
Our customer has been creating software solutions to assist with vehicle diagnostics for nearly 20 years. Their tire alignment and tread measurement solutions help service providers give customers accurate information about the conditions of their tires, facilitating sales and giving customers peace of mind.

Our customer identified gaps that needed addressing to improve multiple aspects of their document management system (DMS). A centralized content management solution which would enhance filing and retrieval of electronic customer, equipment, and project files was identified as top priority to optimize the utilization of a DMS.
M-Files worked with their team to understand their business needs and shared their requirements with TEAM IM. After reviewing the scope and proposing a solution, our customer decided to move forward with implementation.
While the customer had recognized areas that needed improvements, the amount of manual work and the variety of tools required made it difficult to find the right place to begin. TEAM IM was able to map out a point-by-point process and develop a guide to put an ideal DMS solution in place.
That solution included configuring the M-Files DMS vault for up to 25 document classes and object types alongside as many as 10 unique property values.
The issue of unintentionally sharing confidential information had been identified and was scoped for this effort. After discussing the issue, the mechanics, and potential solutions, TEAM designed and developed a bespoke tool to redact PDF content within M-Files via a 3rd party library. The solution was added to the upgrade plans and was implemented seamlessly.
As the project progressed, the need to sync data from the customer's HubSpot instance became apparent. Coloring within the lines of the budget, TEAM IM designed and created a hybrid-object-type connector that seamlessly syncs client information directly from HubSpot into M-Files. Not only was the customer pleased with the additional capability, they were thrilled that the additional features did not affect the original budget or scope of the project.
TEAM IM is now partnering with the customer for additional efforts centralized around migration efforts. Both teams are collaborating to identify the migration approach, export files, and will proceed with executing the migration of accounting documents. This phase expands the adoption of M-Files at the customer site while continuing to fine-tune the needs across the entire organization for long term success.
Our customer is now utilizing M-Files along with TEAM IM's additional redaction feature and Hubspot connector capability. TEAM IM is now partnering with the customer to migrate their existing accounting documents into M-Files for long-term adoption across other departments. Not only was the project a success, but TEAM IM was happy to extend scope with additional capabilities when the need was presented and continue the partnership with phase 2, showcasing our strong customer partnerships in order to ensure successful user adoption.
