With 30 employees, the growing firm handles hundreds of thousands of tax and accounting documents annually. In one month, HHB partner Jim Himmelwright estimates his company processes up to 7,000 documents.

The Challenge

In terms of tax planning and advisory services, HHB requests and receives a variety of required financial documents from clients throughout each tax year. Clients were sending these documents electronically—usually via email—directly to an HHB team member for manual processing. Lacking an automated process for organizing and storing these documents could result in lost files, miscommunication, and ultimately unhappy clients.

The firm needed a secure digital portal to allow clients to directly share documents into HHB's document management platform. HHB uses a tax-preparation platform called Commerce Clearing House (CCH) Axcess to process returns. The problem? CCH Axcess wasn't linked with any other platform and didn't track within HHB's content management system. A new client collaboration solution had to integrate with the system. The company needed a solution that would accurately attach correct workflows with appropriate documents to eliminate manual processing as much as possible.

HHB investigated several out-of-the-box solutions but found none of them met their custom needs. "They work very well if you use their products and, and not as well if you use others," Jim said. "So, we wanted something that was more flexible and more customizable that we could really configure to our own needs." HHB looked to M-Files partner TEAM IM to implement an end-to-end document management and client collaboration platform to streamline client communication and document processing.

 

The Solution

TEAM IM went to work implementing a branded client portal that gives HHB clients instant access to tax documents and a transparent view of the entire tax process, including the status of returns. TEAM IM deployed M-Connect, a web-based platform that enables clients to build easy-to-use web or mobile responsive sites to connect internal or external stakeholders with M-Files back-office content and workflows.

TEAM IM configured M-Connect to provide added layers of document security with each client's specific vault. By integrating with CCH Axcess, the system seamlessly delivers client documents and live client data to HHB. By linking M-Connect and M-Files, HHB can store all data outside the CCH Axcess system and process relevant accounting workflows, acting as a backend to the client portal.

Clients now have instant, secure access to historical tax information and can upload new content directly to M-Files. "Sharing documents with clients is as simple as checking a box, making copies are not necessary, and the client always has the most up to date copy," a TEAM IM report notes.

"[TEAM IM and M-Files] has helped us certainly with our access integration, which is our tax software," Jim said. "We're able to actually know the state of the return, whether it's been accepted by the IRS or not. And then, that actually pushes us to a different state in our workflow. So, we can manage that through M-Files and not actually have to go to the tax software itself."

The Bottom line

With TEAM IM’s M-Connect solution, HHB gained a secure customer portal seamlessly integrated with M-Files. M-Connect provides a customizable interface to create and manage the client experience. Each page is fully customizable in layout and content through a series of widgets. In addition, M-Files extensible nature created a custom integration between the platform and CCH Axcess which in turn creates scheduled calls for status updates back to M-Files.

"Certainly, we now spend less time searching for documents. If I had to estimate, we're somewhere in the neighborhood of 8,000 projects a year," Jim said.

"Talking to our staff, we feel like we save somewhere between five and 10 minutes on each project now."
