Your AI Strategy Is Only as Good as What It Can See

Ask any enterprise software buyer what they want from a document management platform, and you'll get some version of the same answer: it needs to work with everything else we already own. Nobody is ripping out their ERP, their CRM, or their HR system to adopt a new content platform. The content platform has to fit into the stack that's already there.

This is one of the reasons M-Files has held its ground with enterprise IT teams for so long. It doesn't ask you to choose. Whether you're running NetSuite for finance, Salesforce for sales, Workday for HR, or PTC Windchill for engineering, M-Files connects to it rather than competing with it. We've built integrations across accounting, ERP, insurance, GIS, product lifecycle management, and now Microsoft 365 and e-signature platforms like DocuSign and Adobe Acrobat Sign, and the common thread every time is the same: give people one governed place to find the document, no matter which system created it.

Sometimes that means a deep, purpose-built connector. Our recent work linking Microsoft Business Central to M-Files for automated accounts payable is a good example. It's a two-way relationship: approved invoice data flows into Business Central for posting, and payment status writes back to the M-Files record automatically, so the audit trail stays complete on both sides. Same story with our ArcGIS integration for a client managing physical infrastructure. Field data and governed documentation used to live in two different worlds. Now a user can go from a map point to the lease, well record, or asset file behind it without leaving the map.

But not every integration needs that level of engineering. Sometimes a client just needs data flowing in one direction, without the overhead of a full connector build. That's where M-Files' HOT (Hybrid Object Type) Connector earns its keep. It reads from a REST API or a file in the vault, handling JSON, CSV, Excel, XML, and fixed-width formats out of the box. We've used it to pull HubSpot contacts into M-Files, and again to sync ArcGIS feature layers, in both cases skipping the cost and complexity of a heavier integration tool. If the ask is "get this data into M-Files, nothing fancy," the HOT Connector is often the right answer.

Why This Matters More Now Than It Used To

Here's the part that's changed the calculus for a lot of IT leaders: integration used to be a nice-to-have, a convenience for end users who didn't want to switch applications to find a file. Now it's a prerequisite for something much bigger.

Every enterprise is under pressure to deploy AI, and every AI deployment runs into the same wall. The model is only as good as the context it can access. A large language model that can't see your contracts, your engineering specs, your claims files, or your HR policies isn't going to give your team useful answers about any of them. It's going to guess, or worse, it's going to sound confident while being wrong.

Business AI requires business context. And business context is, in practice, business content: the documents, records, and metadata scattered across every system your company runs on. If that content is locked inside a dozen disconnected applications, no AI initiative gets off the ground, no matter how good the model is.
