AI will become an integral part of Content Management

Artificial Intelligence (AI) will be a part of the future of content as it can assist in reducing off cycle time in the creation of applications, create better “on the fly” experiences for users as well as optimize the content storage component capabilities.

When looking at content in 2023 vs the content of the 1980s and 1990s, it has fully evolved from the storage of scanned pieces of paper with elementary recognition capabilities to a robust platform that encompasses all the content elements sometimes referred to as digital assets, that a user needs to complete their work.

Today Content Management provides one of the main resources utilized for business knowledge review and analysis.

Artificial Intelligence (AI) will play an integral part of not only today but into the future. Both business and government organizations will need to have better control over their content distribution and consumption which will require AI technologies.

Utilization of Content Management provides a base resource for the organization to both management and users within the line of business.

Content has continued to increase its value to organizations going from information-only webpages to being distributed across multiple platforms (PC, phone, tablet) for both internal use as well as customer and trading partner secure access. In addition, the use of content has created additional content types that are utilized for business planning and back office operations.

The biggest part of the evolution is the capability to pull content through streamlined metadata searches that have the ability to search across both internal and external repositories of data. Thankfully the days of siloed Content Management systems are behind us. For instance, I can execute a search from an M-Files repository as well as a SharePoint repository and review all of the search results. I can search my local repository as well as cloud-based repositories and filter results based on my business task or objective.

AI provides the capability to rapidly create and analyze data. Organizations are beginning to use AI and Machine Learning (ML) to recognize certain trends and patterns. This is a valuable tool for organizations that assists in making business decisions rapidly.  Some examples of AI include:

  • NLP can extract meanings from interpreted text through ICR or OCR.
  • AI can be predictive to the user to assist in providing optimal actions to respond to queries, tasks, or activities. A simple example of this is you have a discount at a certain gas station, as you approach the gas station in your car, the app senses the gas station and pops up a request asking if you would like to refuel.
  • Image Recognition has the capability to analyze images, videos, and pictures to match certain unique criteria to metadata to automatically identify what the image, video, or content contains. An Example of this would be facial passport recognition. (Talk about a time saver).
  • Ability to recognize audio and speech patterns that determines words by the dialect or tone. An example of this will be services like SIRI and Alex providing a better match to the individual's voice.

The overall use of AI is to further streamline tasks and make organizations and individuals more efficient esp in the reduction of time consuming tedious tasks.

As AI evolves it will make both business and personal apps more valuable to both the business and the consumer. However, it will not be a big bang approach by any means.

Three of the main trends in AI include:

  • Automation of Metadata management that actually reads documents and pictures (images, video), understands the meaning of the text, recognizes certain objects in content, and automatically assigns relevant categories to the content.
  • AI can streamline task automation. Examples include purchasing items directly from a picture on a Webpage without having to go to the storefront app. In addition (like a service I would like to have for this insight) the ability to check my writing style, and make grammatical suggestions and improvements to target a certain audience.
  • Build more intelligent processes that make better use of handling exceptions and ancillary tasks to the process. An example would be where a marketing team verifies digital rights prior to distribution for the website or in marketing ads both in print and digital media.

In summary, both AI and ML will help increase the value of content, develop time-saving user experiences, create a smart process that learns and can change on the fly to handle exceptions as they occur and create new opportunities for an organization's employees. While AI will not completely change the workplace overnight, it will continue to evolve providing increased efficiencies, fewer errors, and an asset to make better business decisions.
